Google review reply template generator

Replying to every review is one of the clearest signals of a well-run business, and Google notes that responding to reviews shows you value customers' feedback. The hard part is consistency: finding the right words for the fifth 1-star review of the week, or for a 5-star rating with no comment.

A good template gives you a solid structure in the right tone. You then add one or two specific details, which takes seconds instead of minutes and keeps every reply on-brand, whoever on the team writes it.

Acknowledge the problem without excuses, apologise for the experience, say what you'll do about it and give a direct way to reach you. Keep it short. The reply is as much for the people reading later as for the reviewer.

If you believe a review is fake or inaccurate, stay factual and polite: say you can't find a record of the visit or correct the facts once, and invite them to get in touch. Then report the review through your Business Profile if it breaks Google's policies.

Every template here has several versions, so press “Another version” until one fits, and personalise it with the reviewer's name, the employee they mention or what they bought. Avoid posting the identical reply under every review.
